Role Summary:


The Senior Project Coordinator (SPC) will work very closely with the Corporate Real Estate, Project Manager and other project stakeholders in the delivery of a variety of projects both large and small. The SPC is a partner in the successful delivery and tracking of Corporate Office and Financial Center renovation projects and new build projects across Canada.


Main Accountabilities:


Reporting and document Management

Creation of project set up and filing system

Status reporting on a weekly basis

Executive reports

Presentations of Data graphically

Coordination and attendance at project meetings capturing outcomes and action items

Coordination and reporting on close out processes ensuring control documents are collected and filed

Support in financial accounting of project, reconciliations and cost management

Attend project coordination and design meetings as requested and prepare addenda and meeting minutes.

Maintain an accurate up to date project log including project contact list/status reports/budget and schedule updates/contractor & supplier PO's confirmation/samples/change orders etc.

Track and report on KPI's and CSAT surveysProject Coordination

Responsible for obtaining furniture quote as per PM and track quotes. Issue and track the purchase orders and coordinate with the end user for installation

Coordination with IT Voice & Data for successful project completion

Supports the project team with various tasks to aid in the delivery of projects, which may include the management of smaller projects like sign installation, carpet and paint

Track project budgets and schedules as required for each project phase on assigned projects.

When directed by PM, act as a liaison with the  project contractor's consultants and suppliers to expedite work

Coordination of Tender packages, receipt and award

Support the PM's on project deficiency resolution processes

Provide secondary contact support to the project stakeholdersCompetencies:

Strong organization and time management skills

Proficient level of communication and customer service skills

Ability to manage multiple conflicting priorities

Experience with Commercial Real Estate sector project management disciplines ie: relocation management, facility infrastructures, construction and renovation, furniture, engineering and consultants etc

Demonstrated problem solving ability and skills

Ability to manage multiple assignments simultaneously and work well in a "matix" organization

Work with a variety of Project Managers at any given time

Expertise in Microsoft business software in particular Excel, Word, and Powerpoint
