Assistant Controller

 

Reports to:  Controller

Indirectly Reporting to:  Assistant Head, Finance and Facilities

Direct Reports:  Student Accounts Administrator

                          Accounts Payable Administrator

 Summary of Position:

The Assistant Controller is responsible primarily for the integrity of the general ledger, day to day operational accounting, assisting in financial statement and budget preparation, and coordinating processes with the Finance team, for both the School and Foundation.  The Controller is expected to work in a procedural, consultative and collegial manner with all constituents of the BSS community in keeping with the School’s Mission, Vision, Values and strategic plan.

 

Specific Accountabilities Include:

Oversees and manages the activities and processes of the Student Accounts Administrator and Account Payable Administrator, provides guidance and direction and offers them support during “peak periods”

Prepares journal entries, bank reconciliation, accounts reconciliation and analysis

Manages short term cash and investments and capital asset monitoring

Assesses and provides continuous improvement of finance information and processes

Prepares charity information returns and various tax receipts

Prepares and files HST reports

Ensures student billing of tuition is accurate and complete

Coordinating with food services department, supports the point of sale databases to accurately integrate to accounting software and real time access by parents.

Oversees integrity of Financial Edge databases. Investigates and ensures timely resolution of reported issues

Assists in the fee setting and budget (operating and capital budgets) processes, monitors and reports on significant variances

Provides financial expertise, support and training to various department heads regarding their budget, set up, planning and monitoring of their budget reports

Collects and provides information for statistical reports both internal and external

Provides support for Parent Association annual fund-raising event through setup of and reporting from complex excel/access database for event sales revenues

Prepares US Foundation financial statements and US federal and state tax returns

Assists in year-end audit, and prepares year-end schedules and reports

Provides support during system upgrades, conversions and new software implementation

Liaises with bank as needed including; conversion to different bank service options

Performs other duties as assigned

 

Skills, Experience and Attributes Include:

A professional accounting designation: CPA, CA, CMA or CGA

Minimum 8 years experience working in progressively senior financial roles

Experience within mid-sized organization an asset

Experience in fund accounting an asset

Supervisory experience

Excellent knowledge of accounting concepts, journal entry processes, and preparation of financial statements; ability to interface accounting programs with other programs, understanding of database management

Proven strength in Microsoft Office with particular emphasis on Excel and Word

Knowledge of Blackbaud’s Financial Edge software an asset

Experience with paperless office products an asset

Ability to multi-task, prioritize and work as part of a team in a busy office

Flexibility combined with analytical skills to creatively problem solve in complex situations

Continuous improvement mindset

Excellent interpersonal skills including strong verbal and written communication skills allowing for effective communication with all constituents
