Our Business Development Group is very busy preparing and issuing proposals for new business. We need to an experienced Administrative Assistant to support the Business Support Manager stay on track.
•Responsible for compiling and organizing travel and expense reports
•Calendar support and management. Updates to calendar ~ requests, meetings etc.
•Coordinate calendars and schedule meetings externally and internally
•Coordinating marketing calls (conference calls, Webex sessions Organize and setup for internal and external meetings ensuring that all requirements are met
•Collect relevant material for scheduled meetings
•Attendance at meetings, compiling meeting minutes oManaging content in company wide information site (Sharepoint)
•Preparation of presentations for marketing
•Assist in daily administrative duties and tasks oAssist with other project work oTime sheet approvals in on line system
•5 years or more of experience within an administrative position
•Post secondary education in a related field with relevant work experience
•Proficiency in MS Office (PPT, Outlook, Word, Excel)
•Detail oriented and able to work in a fast paced environment
•Able to work with confidential documentation. Familiarity with an environment requiring absolute discretion and mature judgment oExcellent communication skills, ability to deal with all levels of staff effectively and efficiently
•Exceptional time management, multi-tasking, planning, interpersonal and organizational skills
•Personal maturity and a professional, polished presentation
•Professional phone mannerisms and etiquette. Professional demeanor
•Local candidates will be preferred and no relocation package will be offered.
